Stichting Scoutcentrum De Eendenkooi records your personal data for the purpose of administrative processing of accommodation contracts and invoices.

We receive privacy information in the following manner.

1. Information request (form) through our website.
We will receive the following information from you there:
a. Name,
b. Phone number and
c. E-mail address.

2. Reservation request (form) through our website.
We will receive the following information from you there:
a. Name,
b. Organization name,
c. Type of organization,
d. Address, zip code, city, phone number and
e. E-mail address.

Because the above forms are on our website, the data is delivered to us by email through our web hosting company and domain name.

3. Banking institution.
Your bank account number and the ascription are recorded in our accounting system and linked to a stay contract number.

4. Software.
We work with Microsoft Excel, Microsoft Word, WordPress, Bookly and Cashbook8 from SoftwareNetz.

What do we need this data for?
1. Drafting lease agreement,
2. Preparation of accompanying invoice,
3. Processing financial records and calendar management.

How long do we keep the data?
We retain privacy information for as long as the legal retention requirement is for our financial records and accounts. In 2018, the legal deadline for this is 7 years.

Where do we store privacy data?
Our emails are registered in our domain email address www.sc-eendenkooi.nl and the web forms in the Google mail server where our calendar management is also housed. Our digital calendar (visible on our website) contains only contract numbers, no privacy information of our visitors. Furthermore, we use a Dropbox account to store our contracts and invoices. Here is also our backup of all files such as leases, invoices, correspondence, minutes and photos. The manager of the complex (also a director of the foundation) and the treasurer of the foundation have copies of the leases and invoices on their own hard drives. This is necessary for quick handling of questions during the rental period when an Internet connection is not possible.

Who have access/access to which location?
The Mail Server.
The directors of the foundation (president, administrator, board member and treasurer) have access to it through a username and password.

Dropbox.
The directors of the foundation (president, administrator, board member and treasurer) have access to it through a username and password.

Google Mailbox.
The foundation’s directors (president, administrator, board member and treasurer) and the foundation’s team management have access to it through a username and password.

Accounting software.
The treasurer of the foundation has access to these records.

Third-party use.
We do not use your information for advertising purposes, nor will we sell or make it available to third parties.
